From Tommy: what worked for me
I've flown to Palma from Norway with both SAS and Norwegian, and neither flight caused any problem. Box checked in, box came out the other side, nothing damaged. On the Palma side, I booked a local bike-shuttle company to transfer me and the box from the airport to my hotel — that worked perfectly every time, and avoided the hassle of trying to fit a bike box into a normal taxi or rental car.
The bike-shuttle booking is the part I'd genuinely recommend. Services in Pollença and Port de Pollença will meet you at arrivals and get you to your hotel with zero friction. Worth the 30–50 EUR each way.
Packing checklist
Tools and spares
- Pedal spanner (8mm Allen or proper pedal spanner).
- Set of Allen keys (2.5 to 8mm).
- Torque wrench — optional but useful for stem and bar bolts.
- 2–3 spare inner tubes even if you're tubeless.
- Chain link / quick-link for the drivetrain (bring 2).
- Spare rear derailleur hanger — specific to your frame.
- Spare brake pads if yours are thin.
Protective packing (inside the box)
- Foam or pipe lagging around frame tubes, especially at contact points.
- Wheel bags with foam discs between rotor and frame.
- Bar-end plugs and chainstay/seatstay protectors — handlebar tape alone is not enough.
- Axle spacer or old hub in the dropouts to prevent frame compression.
- Tie everything down — loose parts in a rattling box damage more than the box does.
- Pack cycling clothing into the gaps as additional padding — saves suitcase weight too.
Bike preparation
- Deflate tyres to roughly 30% of their rating, or follow the airline's stated rule. Most carriers do not require full deflation.
- Remove pedals (grease threads before reinstalling).
- Loosen and rotate bars; leave stem bolts tight.
- Remove rear derailleur and wrap it in the frame (optional for rigid boxes, recommended for soft cases).
- Remove any CO2 cartridges — banned in checked baggage, confiscated at airport.
- Remove battery-packs if lithium — some airlines accept them in hand luggage only.
What to avoid in checked baggage
- CO2 inflator cartridges. Not allowed. Buy on arrival instead.
- Loose lithium batteries over 100 Wh. E-bike batteries over this size are generally refused by passenger airlines entirely.
- Anything aerosol (lube cans, inflators with chemicals). Check the airline's dangerous-goods list.
- Valuables like Garmin or computers — put these in carry-on.
Insurance and documentation
Travel insurance
Standard travel insurance often excludes bicycles or limits their cover to laughably low amounts (€500 per bike). If you're travelling with a bike worth €2,000+, check your policy or take out a cycling-specific insurance add-on. Companies like PedalSure, Cycleplan (UK), Velonline (DE), or Bikmo cover bikes in transit. The premium is usually €20–40 per trip.
Photograph the bike before packing
Take clear photos of the bike's condition and key components before you pack. If something is damaged in transit, you have before/after evidence. Photograph the packed box too — both inside and outside.
Airline damage claims
If the box is visibly damaged on arrival, raise it with the airline at the airport before leaving — their claim process after you walk out is much harder. Most airlines have a 7-day window for damage reports. Keep all tags and receipts.
Airport transfer to your hotel
Palma Airport (PMI) is 20 km from Palma city, 50 km from Port de Pollença, and 45 km from Alcúdia. Getting a bike box from arrivals to your hotel is the part people underestimate.
Options in order of practicality
- Bike-specific shuttle service (e.g. Mallorca Cycle Shuttle, local Pollença operators): pre-book, they meet you at arrivals and take you and the box directly to the hotel. €30–60 each way. Recommended for groups of 1–4 cyclists.
- Taxi with roof rack or large van: possible but not always available; the rank outside arrivals has a mix of car sizes. Ask for a "grande" taxi.
- Rental car: only works if you've booked a car class that fits a bike box (see the separate rental-car article). Compacts don't.
- Public bus: possible but awkward with a bike box. Not recommended.
Book the shuttle in advance. Walk-up availability in peak cycling season (March, April, October) is limited.
Practical timing
Arrive at the airport 3 hours before a long-haul flight and 2.5 hours before an intra-European flight when flying with a bike. Check-in with oversized baggage takes longer — there's usually a separate desk for sports equipment, and the process itself (weighing, tagging, passing to the oversized belt) adds 15–30 minutes. Don't be the cyclist who rushes this and misses the flight.
On arrival at Palma, the oversized baggage claim is at one end of the luggage hall, often on a separate belt from normal suitcases. Watch the signage; don't wait at the main belt for a box that isn't coming.
